How Citetail handles your information

01Information we collect

We collect information you give us directly, information generated automatically as you use Citetail's dashboard and free tools, and information from third parties like payment processors.

We do not knowingly collect government ID numbers, biometric data, or health information.

02How we use it

• To run the platform — auditing domains, checking citations across ChatGPT, Perplexity, Gemini, Claude, and Copilot, and generating your AI Visibility Score.
• To manage your account — authentication, saved queries, billing, and team seats.
• To improve Citetail — understanding which features are used, fixing bugs, and testing new scoring models.
• To communicate with you — citation alerts, product updates, and, if you've opted in, research and newsletter content.
• To prevent fraud and abuse — detecting suspicious sign-ups and account misuse.
• To meet legal obligations — tax records and responding to lawful requests.

03When we share it

We don't sell your personal information. We share it only in these situations:

• Service providers — hosting, payment processing, and email delivery, bound by contract to use data only to perform their service.
• Business transfers — if Citetail is acquired or merges with another company, information may transfer as part of that deal.
• Legal reasons — if required by law, subpoena, or to protect the rights and safety of Citetail or our customers.
• With your consent — for any other purpose you explicitly agree to.

04Cookies & tracking

Citetail uses cookies to keep you signed in, remember dashboard preferences, and understand how the site and free tools are used.

• Essential cookies — required for login and dashboard access. These can't be turned off.
• Analytics cookies — help us see aggregate usage patterns across the product and marketing site.
• Marketing cookies — used to measure campaign performance; only set with your consent.

You can manage cookie preferences from the "Cookie Settings" link in the footer, or through your browser settings.

05How long we keep it

We keep account and domain-tracking data for as long as your account is active, plus a period afterward for tax and fraud-prevention purposes — typically seven years for financial records. Support chat logs are kept for two years. You can request earlier deletion; see your rights below.

06Your rights & choices

Depending on where you live, you may have the right to:

• Access a copy of the personal data we hold about you.
• Correct inaccurate or incomplete information.
• Delete your data, subject to legal retention requirements.
• Port your data to another service in a machine-readable format.
• Object to or restrict certain processing, including marketing.
• Withdraw consent at any time where processing is based on consent.

07Security

We use encryption in transit (TLS), encrypted storage of payment details via our PCI-compliant processor, and role-based access controls limiting employee access to personal data. No system is perfectly secure, and we encourage using a strong, unique password for your Citetail account.

08Children's privacy

Citetail is a B2B platform not directed at children under 16, and we do not knowingly collect personal information from them. If you believe a child has provided us with personal data, contact us and we'll delete it promptly.

09International transfers

Citetail is based in the United States, and some of our service providers operate internationally. Where personal data is transferred outside your home country, we rely on appropriate safeguards such as standard contractual clauses.

10Changes to this policy

We may update this policy as our practices evolve. If changes are material, we'll notify you by email or with a notice on the site before they take effect. The "Last updated" date at the top reflects the most recent revision.
